At Trek Himalyan Soul, we aim to provide a transparent and hassle-free refund experience. This policy outlines the eligibility, timeline, and process for receiving refunds for cancelled treks or services.
1. Refund Eligibility & Cancellation Tiers
Refunds are processed based on the timeframe of your cancellation request relative to the trek start date:
- 90% Refund: If cancelled 30 days or more before the trek start date. (10% deducted as processing fee).
- 50% Refund: If cancelled between 29 to 15 days before the trek start date.
- No Refund: If cancelled less than 15 days before the trek start date.
2. Refund Processing Timeline
- Approved refunds will be processed within 7–8 working days.
- The amount will be credited back to the original source of payment (Credit Card, Debit Card, UPI, or Net Banking) used during the booking.
- Depending on your bank, it may take an additional 3-5 days for the funds to reflect in your account statement.
3. Non-Refundable Components
The following are strictly non-refundable:
- Booking processing fees (included in the 10% deduction for early cancellations).
- Transaction charges levied by payment gateways at the time of booking.
- Value of any utilized Credit Vouchers or Promotional Codes.
- Costs for third-party services not booked through us (e.g., flight tickets, personal gear rentals outside our scope).
4. Cancellations by the Company
If Trek Himalyan Soul is forced to cancel a trek due to 'Force Majeure' (natural calamities, government bans, etc.), we offer:
- Full Credit Voucher: Valid for 1 year, usable for any future trek.
- Full Refund: Applicable only if the cancellation is due to our internal operational reasons (e.g., insufficient group size).
5. On-Trek & No Show Policy
No Refund will be granted in the following scenarios:
- No Show: Failure to arrive at the pickup point/base camp on time.
- Early Exit: Leaving the trek midway due to fitness, health (AMS), or personal choice.
- Trek Aborted: If the trek leader calls off the trek midway for safety reasons (weather, landslides).
